Incident Auto Numbering

INCIDENT AUTO NUMBERING

 

Incident Reports can be auto numbered to assist in keeping incident entries in numeric order. Auto numbering works to identify the current highest incident number (possibly time frame dependent based on the Reset Every frequency selection), then adding 1 to assign the new number.

 

Note that per NFIRS specifications, the incident number must be numeric only and seven characters or less. The field is simply designed to be a yearly unique identifier for incidents and this number does not have to match a CAD dispatch number or be in chronological order of when incidents occurred. If auto numbering is off, the incident number will be manually entered by users with the incident data.

 

1.         Go to Settings > System Administration > Auto Numbering

2.         For Record Type > Incident Report, check the Auto Number? box to turn on auto numbering.

3.         Select the desired Format.

a.       {Number} – No specified format. Number could be “1” or other user entered numbering.

b.       {YYNumber} – Last two digits of year plus five digits, such as 2100001.

c.       {YYMMNumber} – Last two digits of year and two digit month plus 3 digits, such as 2101001.

4.         Reset Every allows a frequency to be set.

a.       Year – Most common frequency. First incident of each year will reset to chosen format.

b.       Month – First incident of year month will reset to chosen format.

c.       Day – First incident of each day will reset to chosen format.

d.       Never – Will not automatically reset on any frequency but can still be reset by manual entry.

5.         Check the Allow Edit box to grant users permission to change the auto generated or manually entered incident number once assigned.

6.         Click Save in the ribbon bar or use Save hot key to save the selections made.
