SceneConnect Fuel Receipt Entry

SceneConnect FUEL RECEIPTS


Fuel Receipts can be entered for Apparatus, Equipment Item or Fixed Asset records to track fuel usage and fuel spending. Follow these instructions to enter and access full Fuel Receipt forms or to access simplified Quick Fuel Receipt entry.

 

1.       Go to Assets and click the Fuel Receipts button.

2.       Click the green Add+ button to enter a new fuel receipt.

·         Highlight an existing Fuel Receipt and double left click or highlight it and click the orange Change button to edit the record.

·         Highlight an existing Fuel Receipt and click the red Delete button to remove the record. Type Confirm to complete the deletion.

3.       The receipt date will auto populate with the current date but can be changed as necessary.

 


 

4.       Fuel receipts MUST be associated with either an Apparatus, Equipment Item or Fixed Asset from your Inventory records and can only be associated to one item per receipt.

·         The record will auto save once this required data has been entered.

·         The Status Bar at the bottom of the screen will display text and change colors to provide the status of the record including: Changed (new data entered but not yet saved due to a critical error, such as missing data), Saving and Saved.

·         The Status Bar will also display Validation Warnings and can be clicked to display additional detail.

·         The field(s) in question will also be highlighted with an exterior box color of purple (critical) or red (required). Hovering over the field causing the error will also display text indicating the issue with the entry.

5.       As applicable, select the Fuel Type then enter the Fuel Quantity, Purchase Amount and select a Facility.

·         The Fuel Type list can be entered or modified in the WildFire Settings tab using the Lookups. On the left side of the screen, use the Search or scroll to find FUEL TYPE. Make the desired changes on the right side under Lookup Entries.

·         Facilities is populated by the Stations and Facilities list found in the WildFire ribbon bar of the Operations or Assets tabs.

6.       As applicable, enter the Mileage/Meter Reading, Hours, Beginning Master and Ending Master values, plus any notes in Description or Comments.

7.       Upload receipt photos into the Images grid or other document types into the Attachments grid using the green Upload button.

·         For Images, mobile devices will present the options to browse photo library or take a photo (device and permission dependent). 

·         Once uploaded, use the Details button to change the Attachment Name, enter an Attachment Type or Description. The Date Uploaded, Original File Name and Extension can also be viewed.

·         Existing Images or Attachments can be deleted using the red Delete button.

 

Quick Entry

1.       Go to Assets and click the Quick Receipt button to enter a simplified fuel receipt record.

2.       The receipt date will auto populate with the current date but can be changed as necessary.

3.       As applicable, select the Fuel Type then enter the Fuel Quantity and Purchase Amount.

4.       Fuel receipts MUST be associated with either an Apparatus, Equipment Item or Fixed Asset from your Inventory records and can only be associated to one item per receipt.

·         Click Save to close the form, saving the entered data.

·         Click Next to Save the existing record and enter another Quick Entry Fuel Receipt record.

·         Click Open to load the full Fuel Receipt form to enter additional details not available in the Quick Entry form.

·         Click Cancel to close the form without saving.
